By Monday morning, leads are shared out and tenant files are up to date
Portal leads, rental applications, landlord requests, signed inventories: it all arrives by email. Each request is matched to the property, documents are checked and filed, and the right sales or lettings agent finds a reply ready to go.
Today
Sales and lettings, one overflowing inbox
- Forty weekend leads from three portals, to sort before the first viewing.
- Rental applications that are always missing a payslip or the latest tax return.
- Landlords calling one after another to ask where their rent statement is.
With Loop & Roll
Agency admin that moves on its own
-
Every lead to the right agent
The property reference is read from the portal email. The agent handling the listing is alerted, with the buyer’s phone number and what they are looking for.
-
Rental applications checked
ID, payslips, tax return, guarantor: each document is ticked off the list, and anything missing is flagged.
-
Reminders for documents and rent
A missing document, an inventory to sign, rent still unpaid on the 10th: the reminder is drafted and goes out once the property manager agrees.
-
Your property software kept current
Leads, applicants and documents are created in your property software or a shared table, linked to the right property and instruction.
-
Passed to sales or lettings
A landlord’s question goes to the property manager for that unit, an offer to the agent on the listing. No more Monday-morning forwarding.
-
Replies and viewing slots ready
Three free slots are read from the agent’s calendar and placed in a reply they review and send. Tenants get the same care.
A concrete example
A rental application arrives on Saturday
At 9 on Monday, the file is in place and the reminder for the missing document awaits the property manager’s go-ahead.
- Rental application in one-bed, Mill Street
- Documents checked tax return missing
- Applicant added property software
- Passed to Claire lettings manager
- Reminder ready to approve Monday 9 am
How we go about it
We find where the time goes, then we automate it.
The same method in every company: an AI audit to measure, workflows that run, the time saved shown every month. The first audit is free.
-
Product 1 · Identify
The AI audit First audit free
An interview agent talks with each team, by voice or on screen, for about half an hour. It analyses their emails. A senior consultant completes it when needed.
-
Product 2 · Automate
The Loop & Roll platform
Each opportunity you keep becomes a workflow that runs. It reads emails, extracts what matters, keys it into your tools and prepares replies as drafts.
-
Then · Measure and extend
The time saved, every month
A dashboard for you and your teams shows the time saved each month. Every six months, a new audit finds the next automations, or fixes and improves the ones in place.
We do not replace anyone

Your questions
Does it work with our property software?
You keep it. If it can exchange data with other tools, leads and documents are created in it directly. If not, a shared table lists properties and who handles them, and your team carries over what needs to be.
What goes out without approval?
Nothing, except what you allow, such as an acknowledgement that an application was received. Viewing proposals, document requests and rent reminders are drafts the agent or property manager sends, edits or discards.
Where do we start?
With a free audit. An interview agent talks with each team for about half an hour, by voice or on screen, and analyses their emails with their consent. You get the opportunities ranked by gain and effort, in hours and euros. You choose, a first prototype runs, and you approve it before it goes live.
Tenant files hold personal data. Where does it go?
Only the emails a workflow is set up for are read. Access is encrypted, every run is logged, and your data stays in Europe or on your servers. Retention periods are agreed with you.
How many files in your agency are waiting on a document?
We start with a free audit: your leads, rental applications and reminders, and what can move forward without retyping. Book a demo to talk it through.
