Recruitment and HR

Every applicant gets a reply, every new starter a complete file

CVs, onboarding documents, sick notes, requests for employment letters, expense claims: HR receives it all by email. Each one is read, checked and filed in the right employee or candidate record, and the reply waits for your approval. Choosing candidates stays with you.

Today

HR, caught between inbox and employee file

  • Dozens of CVs opened one by one between interviews, and applicants who never hear back.
  • A new starter on Monday, and still no bank details or right-to-work check in their file.
  • Sick notes sent to the line manager and passed to payroll three days later.

With Loop & Roll

HR admin without chasing by hand

  • Applications and requests sorted

CV, sick note, request for an employment letter, question about leave: each email is recognised and matched to the right role or employee.

  • Onboarding files checked

ID, bank details, right to work, qualifications, proof of address: the checklist is ticked off before day one, and anything missing is flagged.

  • Reminders before the first day

A week before someone joins, the reminder for missing documents is ready. The same goes for probation reviews or occupational health appointments.

  • Applicant tracking and HR system current

Each application becomes a row in your tracking table or recruitment software, with a short summary. Documents join the employee file.

  • Payroll and managers kept informed

A sick note reaches the payroll administrator the same day, a shortlisted profile goes to the hiring manager, with the CV and summary.

  • Replies to applicants and staff

Acknowledgement, interview offer with three free slots, employment letter: the draft is ready and HR approves.

A concrete example

A sick note arrives on Friday evening

On Monday, it is filed, payroll knows and the acknowledgement to the employee awaits HR’s approval.

  1. Sick note received sent by the manager
  2. Dates checked 12 to 19 March
  3. Filed to employee record HR system
  4. Passed to payroll before the cut-off
  5. Acknowledgement drafted for HR to approve

How we go about it

We find where the time goes, then we automate it.

The same method in every company: an AI audit to measure, workflows that run, the time saved shown every month. The first audit is free.

  1. Product 1 · Identify

The AI audit First audit free

An interview agent talks with each team, by voice or on screen, for about half an hour. It analyses their emails. A senior consultant completes it when needed.

  2. Product 2 · Automate

    The Loop & Roll platform

Each opportunity you keep becomes a workflow that runs. It reads emails, extracts what matters, keys it into your tools and prepares replies as drafts.

  3. Then · Measure and extend

    The time saved, every month

A dashboard for you and your teams shows the time saved each month. Every six months, a new audit finds the next automations, or fixes and improves the ones in place.

We do not replace anyone

For the whole company

We take away the tedious tasks so that your teams can make the most of their skills.

  • HR team

Less sorting and admin, more time for interviews, onboarding and the conversations that need a person.

  • Line managers

A readable shortlist with a summary of each profile, and sick notes that reach payroll without a second thought.

  • Payroll administrator

Absences and new starters’ documents in before the payroll cut-off, not on payday.

Your questions

Does the sorting choose candidates for us?

No. Applications are read and summarised, never scored or rejected. The decision to shortlist a candidate always rests with someone on your team.

What goes out without approval?

Only what you allow, such as an acknowledgement of an application. Rejections, interview offers and replies to staff are drafts HR reviews and sends.

Do we need an HR system or recruitment software?

No. A shared table is enough. If you already have HR or recruitment software that can exchange data with other tools, we feed it directly.

Applicant and employee data is sensitive. Where does it go?

Only the emails a workflow is set up for are read. Access is encrypted, every run is logged, and your data stays in Europe or on your servers. Retention periods are agreed with you, in a setup designed with GDPR in mind.

Where do we start?

With a free audit. An interview agent talks with each team for about half an hour, by voice or on screen, and analyses their emails with their consent. You get the opportunities ranked by gain and effort, in hours and euros. You choose, a first prototype runs, and you approve it before it goes live.

How many CVs and documents are sitting in the HR inbox?

We start with a free audit of your hiring and employee files: what can move forward without retyping, so your HR team can focus on people.
