Claim files complete before the account handler even opens them
Claim notifications, new business requests, certificates, exchanges with insurers: every email opens or adds to a file. It is matched to the right client and policy, documents are checked, and the reminder goes out once the account handler has approved it.
Today
Daily life in a brokerage or agency
- An escape of water reported without photos or a report, and three emails to gather the documents.
- The same file keyed into your broking system, then again on the insurer’s portal.
- Certificate requests every day, and renewals tracked in a spreadsheet that is half up to date.
With Loop & Roll
Brokerage admin that moves on its own
-
Claims and new business sorted on arrival
Claim notification, quote request, certificate, cancellation: the request is recognised and matched to the client and their policy.
-
File documents checked
Accident report, photos, invoices, claims history, company registration: the insurer’s checklist is compared with what has arrived.
-
Chasing documents and signatures
A missing document, an unsigned proposal form, an unpaid premium: the reminder is drafted in your tone and follows up until it arrives.
-
Broking system and insurer portals fed
The file is created or updated in your broking system, and the details to declare on the insurer’s portal are prepared in the right format.
-
To the handler who looks after the client
A motor claim goes to the claims team, a fleet proposal to the commercial lines adviser, with the file already put together.
-
Replies to policyholders ready to review
Acknowledgement, request for more information, certificate to send: the draft is ready, the account handler reviews and sends.
A concrete example
An escape of water reported on Friday night
On Monday morning, the file is open and the request for photos is waiting for the handler’s approval.
- Claim reported escape of water, home
- Documents checked photos missing
- File opened broking system
- Assigned to Nadia claims team
- Reminder drafted for Nadia to approve
How we go about it
We find where the time goes, then we automate it.
The same method in every company: an AI audit to measure, workflows that run, the time saved shown every month. The first audit is free.
-
Product 1 · Identify
The AI audit First audit free
An interview agent talks with each team, by voice or on screen, for about half an hour. It analyses their emails. A senior consultant completes it when needed.
-
Product 2 · Automate
The Loop & Roll platform
Each opportunity you keep becomes a workflow that runs. It reads emails, extracts what matters, keys it into your tools and prepares replies as drafts.
-
Then · Measure and extend
The time saved, every month
A dashboard for you and your teams shows the time saved each month. Every six months, a new audit finds the next automations, or fixes and improves the ones in place.
We do not replace anyone
For the whole brokerage
We take away the tedious tasks so that your teams can make the most of their skills.
-
Claims handlers
Files put together from day one, fewer reminders to write, more time for cases that need judgement.
-
Account executives
Complete new business requests, with the details ready for the insurer’s portal.
-
Principal
Files waiting on documents visible at a glance, and renewals that no longer slip.

Your questions
Are our broking system and insurer portals compatible?
Broking systems often let other software create or update files. Insurer portals do not always offer access: in that case the details are prepared so they can be entered in a few clicks.
Do messages go to policyholders on their own?
Only those you allow, such as an acknowledgement of a claim. Document requests, certificates and premium reminders are drafts approved by the account handler.
Where do we start?
With a free audit. An interview agent talks with each team for about half an hour, by voice or on screen, and analyses their emails with their consent. You get the opportunities ranked by gain and effort, in hours and euros. You choose, a first prototype runs, and you approve it before it goes live.
Claims and health data are sensitive. How are they protected?
Only the emails a workflow is set up for are read. Access is encrypted, every run is logged, and your data stays in Europe or on your servers, with the AI model of your choice.
How many document reminders does your brokerage send each week?
We start with a free audit of your claims and new business files: what can move forward without retyping, and what it gives back. Book a demo.
