IMAP / SMTP

Automate any mailbox that speaks IMAP

Your mail is hosted by a provider, or on your own server? Plug it in with its server addresses and an app password: it syncs, triggers workflows and sends replies like any other mailbox.

What you can automate with IMAP / SMTP

Triggers

What starts a workflow.

  • Email received

Starts the workflow when an incoming email matches the conditions.

Actions

What a workflow can do next.

  • Move

Adds or removes folders/labels on the triggering email, through the mirror (immediately visible in the mailbox).

  • Flag

Changes the state of the triggering email: read/unread, flagged/unflagged.

  • Compose

Prepares a message — recipients, subject, body, attachments — without sending anything.

  • Send

Saves a message as a draft or sends it, from the mailbox of your choice and with the signature of your choice.

  • Read attachments

Extracts the text of the email attachments (PDF, text, HTML…) into the working data.

Workflows you can build

Each one starts from a real situation and uses only nodes that exist today. Test it on past emails before you publish it.

  • Sort a hosted mailbox

Incoming email is sorted into folders by category, so the shared contact address stays readable.

    1. Email received
    2. Categorize
    3. Move
  • Acknowledge every application

Each application gets a personal acknowledgement, prepared from the sender’s name and the role, and saved as a draft for review.

    1. Email received
    2. Extract
    3. Compose
    4. Send as draft
  • Turn attached documents into data

The text of the attached PDF is read, the fields you need are extracted, and a row of your table is created or updated.

    1. Email received
    2. Read attachments
    3. Extract
    4. Table — insert or update

How to connect IMAP / SMTP

No authorisation page: you fill in a form with the server addresses and a password, and Loop & Roll tests both servers before saving anything.

Before you start

  • The IMAP and SMTP server names and ports of your mailbox.
  • A password that allows password sign-in over IMAP and SMTP — ideally an app password.
  • An encryption key configured on the instance, to store the password.

The full guide in the documentation

  1. Open Connections, click Add a connection, then Connect on the IMAP / SMTP card.
  2. Fill in the mailbox address, the incoming (IMAP) and outgoing (SMTP) servers and the password.
  3. Click Connect the mailbox: a real IMAP session and a real SMTP session are opened before anything is saved.
  4. The mailbox starts syncing and can be picked in an Email received trigger.
